Common questions
What is a seat?
One seat = one clinician login. Each BCBA or BCaBA on your team needs a BCBA seat, and each RBT needs an RBT seat. Directors who also carry a caseload need a BCBA seat, not a Director seat. RBT seats are invite-only — a supervising BCBA or Clinical Director adds each RBT from their dashboard.
What can an RBT do with their seat?
RBTs have access to the Session Notes agent only — they draft a session note after each visit and submit it to their supervising BCBA. The BCBA reviews it, and it only becomes a finalized, downloadable document once approved. RBTs don’t have access to the other four agents, which are BCBA-level clinical planning and assessment tools.
What happens after the founding rate period?
Your rate is locked at $89/seat/mo for your first 12 consecutive months of active subscription. After that, it moves to the standard $119/mo rate. This rate applies only while your subscription stays continuously active — if you cancel and later resubscribe, the founding rate no longer applies. You’ll receive 30 days notice before any price change.
If I’m a Clinical Director, will I be charged during the free trial?
No. No card is required to sign up, and you will not be charged anything during the free trial. Full access is included at no cost through November 30, 2026.
What happens when a BCBA or RBT I’ve added leaves my agency?
Their seat and access are revoked immediately. A departing BCBA can continue using BehaviorLabs AI by purchasing their own individual BCBA seat. A departing RBT would need to be invited by a new supervising BCBA to regain access.
Can I cancel anytime?
Yes. Cancel anytime from your billing portal. You’ll retain access through the end of your current billing period.
Is BehaviorLabs AI HIPAA compliant?
BehaviorLabs AI runs on HIPAA-eligible AWS infrastructure with encrypted storage and access controls. Generated documents can be downloaded at any time and remain available in encrypted cloud storage for 6 months. After that window, it’s the BCBA’s responsibility to retain their own copies in line with their license board’s requirements — BehaviorLabs AI is a documentation aid, not your official system of record. A Business Associate Agreement (BAA) is available upon request.
What agents are included?

Do documents require clinical review before use?
Yes. All AI-generated documents are drafts that require review and approval by a supervising BCBA before clinical use or insurer submission. For RBT-submitted session notes, this review is built directly into the workflow — a note can’t be downloaded until the supervising BCBA approves it. BehaviorLabs AI is a documentation tool, not a clinical decision-maker.
